Position Summary:

We are looking for a reliable and detail-oriented Service Coordinator to support our Australian-based team in managing the offhire and damage process for our rental equipment fleet. This remote role involves coordinating offhire documentation, managing damage reporting workflows, and ensuring accurate records and communication across our internal systems and customer base.

The ideal candidate has prior experience working in service coordination, fleet support, or equipment hire operations particularly in roles involving asset tracking, work orders, or post-hire assessments.

Key Responsibilities:

  • Reconcile offhire reports by reviewing equipment return details, usage logs, and fuel or AdBlue charges.
  • Identify damage based on pre- and post-hire comparison photos; document findings and escalate as needed.
  • Communicate with onshore team members to verify whether damage is chargeable and if repairs are pending or complete.
  • Create and update work orders with relevant parts, labour, or purchase order details.
  • Coordinate with onshore Parts & Service teams to gather quotes for repairs.
  • Submit damage reports for approval and make any required changes based on Service Manager feedback.
  • Prepare and send finalized invoices and damage photo comparisons to customers, ensuring Sales Reps are copied in.
  • Maintain clear and organized digital records of all offhire transactions, updates, and communications.
  • Monitor repair timelines and follow up with relevant teams if delays occur.

Requirements:

  • 2-3 years of experience in remote service coordination, rental equipment support, or technical admin roles.
  • Experience working with Australian or international clients in the construction, plant hire, or service industries is a plus.
  • Strong working knowledge of administrative tools (e.g., Excel, Outlook, CRMs, or ERP systems).
  • Confident reading equipment logs, photos, and service reports to identify potential issues.
  • Highly organized and responsive, with excellent attention to detail.
  • Strong written English communication skills, able to draft emails and reports professionally.
