Operations Staff

About the position

Job Summary

The Operations Staff plays a key supporting role in the daily operations of the clearing and forwarding company. This position involves assisting senior staff in managing logistics, customs documentation, shipment tracking, and ensuring smooth transportation of goods. The Operations Staff member will work closely with the operations team to ensure efficient and accurate execution of the import/export processes.

Key Responsibilities

  • Assist in preparing and processing shipping and customs documentation, including invoices, packing lists, bills of lading, and other required forms before starting the operation.
  • Support the tracking and monitoring of shipments, ensuring timely delivery and handling of all logistics-related activities.
  • Communicate with the customer service team or the managers, suppliers, and transportation partners to address any issues or concerns regarding shipments.
  • Assist in coordinating with ICD, CFS, Port authority, and other stakeholders to facilitate smooth customs clearance.
  • Update internal systems with shipment status, inventory levels, and other relevant details.
  • Participate in the management of cargo and freight movement, ensuring all operational processes follow company policies and regulations.
  • Assist in maintaining accurate records for auditing and compliance purposes.
  • Handle administrative tasks such as filing, preparing reports, and responding to emails or phone inquiries.
  • Learn and follow all relevant industry regulations, including customs, import/export laws, and safety standards.

Qualifications and Skills

  • College degree in Logistics, Supply Chain Management, International Trade, or related field (or relevant work experience).
  • Fresh graduate or up to [1-2] years of experience in logistics, customs, or freight forwarding operations.
  • Basic knowledge of customs procedures, shipping documentation, and international trade regulations is a plus.
  • Strong communication and organizational skills.
  • Ability to handle administrative tasks efficiently with attention to detail.
  • Proficiency in MS Office (Excel, Word, Outlook) and logistics management software.
  • Eagerness to learn and develop skills in international logistics and trade compliance.
