About the position

EXECUTIVE ASSISTANT

Location: Bedford, Eastern Cape
Reports To: Trust Executive Officer (TEO)
Contract Term: 7 Years
Remuneration: R630,000 CTC per annum (includes basic salary and agreed benefits such as medical aid)

About the Organisation

Our Client is a community-owned enterprise with vested interests in renewable energy. The Trust serves the communities of Cookhouse, Bedford, Adelaide, and Somerset East, and was established in compliance with the licensing conditions of the Cookhouse Wind Farm under the Renewable Energy Independent Power Producer Procurement Programme (REIPPPP). Community ownership and benefit are central to its mission.

Role Overview

We are seeking a highly motivated Executive Assistant to provide professional company secretarial and administrative support to the Trust Executive Officer and the Board. This role requires integrity, discretion, strong interpersonal skills, and a solution-oriented approach. You'll gain valuable exposure to the operations of a dynamic community-based Trust in the renewable energy sector.

Key Responsibilities

1. Administration & Support

  • Perform all administrative duties for the TEO and Board.
  • Coordinate resources and assist with the preparation of various reports.
  • Ensure relevant matters are included on board and committee agendas.
  • Provide documentation and logistical support for all meetings.
  • Communicate and escalate issues as appropriate.
  • Undertake any other tasks as delegated by the TEO or Board.

2. Document Management

  • Maintain both digital and physical records using SharePoint and secure filing systems.
  • Manage statutory records, including the register of Trustees.
  • Draft reports, collate information, and ensure communication of Board decisions.
  • Implement measures to protect Trust data.

3. Governance & Compliance

  • Provide guidance on governance, compliance, and ethical matters.
  • Ensure timely submission of statutory forms and annual returns.
  • Advise the Board on records management best practices.

4. Meeting & Board Support

  • Work with Chairpersons to:
    • Draft agendas and declarations of interest.
    • Compile and distribute meeting packs and notices.
    • Record, compile, and archive minutes and resolutions.
  • Manage AGM processes and regulatory deadlines.

5. Stakeholder Engagement

  • Build and maintain effective working relationships with the TEO, Board, stakeholders, and beneficiary communities.
  • Serve as a key liaison between internal and external partners.

Candidate Profile

Qualifications & Experience:

  • Tertiary qualification in Law or Finance/Accounting, or a combination thereof.
  • At least 5 years of experience in a corporate legal, financial services, or governance-related environment.
  • Experience supporting senior executives and liaising at Board level.
  • Project management experience is advantageous.

Skills & Attributes:

  • Strong working knowledge of PowerPoint and Excel.
  • Excellent numerical, analytical, and report-writing skills.
  • High emotional intelligence (EQ) and a values-driven approach.
  • Strong decision-making, organisational, and communication skills.
  • Self-driven, proactive, and comfortable with ambiguity.
  • Knowledge of the renewable energy sector is an added advantage.
  • Valid drivers licence required.
