Sales and Logistics Administrator

About the position

The Sales and Logistics Administrator plays a pivotal role in ensuring the smooth operation of the sales and distribution pipeline. This position is responsible for supporting the sales process, managing logistics coordination, and maintaining accurate records of deliveries and invoices (POD's). The ideal candidate will be organized, responsive, and able to work efficiently in a fast-paced, time-sensitive environment.

Key Responsibilities:

  • Sales Support & Order Management
  • Capture and process sales orders accurately in the system.
  • Delegate and assign orders to relevant departments for fulfilment.
  • Coordinate with warehouse or production teams to ensure timely dispatch.
  • Courier and Delivery Coordination
  • Book and schedule courier collections and deliveries.
  • Liaise with courier companies for order tracking and resolve any delivery delays or issues promptly.
  • Troubleshoot logistics problems via phone and email communication.
  • Proof of Delivery & Invoice Administration
  • Procure Proof of Deliveries (PODs) from courier companies and ensure they are accurately captured and filed.
  • Collect and file invoices from retailers and buyers.
  • Maintain up-to-date and organized digital and/or physical records.
  • Communication & Reporting
  • Maintain professional phone etiquette when dealing with couriers, clients, and internal teams.
  • Provide timely updates to sales and logistics teams regarding order statuses.
  • Generate basic reports on order fulfilment and logistics metrics as needed.

Required Skills and Competencies:

  • Strong telephone and interpersonal communication skills.
  • Working knowledge of Microsoft Excel (basic formulas, data entry, sorting/filtering).
  • Excellent time management and prioritization skills ability to meet deadlines in a high-pressure environment.
  • High attention to detail and accuracy in data entry and filing.
  • Ability to problem-solve under pressure, especially with logistics-related issues.

Preferred Qualifications:

  • Previous experience in a sales support, administration, or logistics coordination role.
  • Familiarity with courier booking platforms or logistics software.
  • Understanding of supply chain or order fulfilment processes is an advantage.

Working Conditions:

  • Office/warehouse-based with regular communication via phone and email.
  • Occasional overtime may be required during peak sales or delivery periods.
