To reach our goal, we are looking for an :
OFFICE MANAGER F/M
Long-term contract - Based in Athenes
Your main tasks :
- Office Operations: Oversee and support all administrative duties in the office and ensure the office is operating smoothly and in good condition.
- Management: Manage office supplies, inventory, and place orders as necessary. Perform a range of staff support activities for the organization’s managers: organize travels and manage company cars and expenses.
- Communication: Serve as the point person for office manager duties including maintenance, landlord, mailing, shopping, supplies, equipment, and errands.
- Planning: Organize office operations and procedures, and manage relationships with vendors, service providers, ensuring the office is clean, organized, and safe.
- Documentation: Managing physical and virtual files on servers or cloud platforms, ensuring compliance with data protection regulations regarding information storage, and reviewing and updating existing policies.
- Teamwork: Join and facilitate cross-department collaboration. Handle queries from team members and guide as needed. Support team by facilitating inter-departmental communications and interactions between internal and external parties.
- HR/CRS : act as the local relay for HR and CSR initiatives, in liaison with head office including preparation for onboarding of new staff. - reviewing and updating health and safety policies, ensuring compliance.
Expected skills :
- Proven experience as an Office Manager or Administrative Assistant
- Experience in handling a wide range of administrative and executive support-related tasks and able to work independently with little or no supervision.
- Proficiency in MS Office
- Fluent in English, French is a plus.
