Full-time (approx. 40 hours/week); Monday - Friday, 9:00 am-5:00 pm EST, with flexibility required during peak periods

Position Overview:

Were looking for a Senior Executive Assistant to work directly with the CEO and serve as a trusted partner in managing key priorities, projects, and communications. This role combines high-level executive support with light project coordination and operational follow-through. You'll be the point person ensuring nothing falls through the cracks both professionally and administratively.

Key Responsibilities:

  • Process 350-400 invoices per month once fully ramped
  • Executive Support- manage the CEOs calendar, travel, and task prioritization; assist with errands, scheduling, and communications
  • Project Coordination- track timelines and deliverables, maintain task lists and ensure key projects stay on course
  • Process Optimization- develop and maintain systems that increase efficiency and reduce operational friction
  • Client Experience- support client interactions and help deliver a standout experience, including driving one WOW moment per month
  • General Administration- handle documentation, shipping logistics, and general back-office needs


Qualifications:

  • High emotional intelligence and professional discretion
  • Excellent written and verbal English communication
  • Detail-oriented with strong project management and coordination skills
  • Proven ability to manage executive calendars and travel logistics
  • Proficient in MS Office, Zoom, Canva, Adobe Suite, and similar tools
  • Self-motivated, reliable, and capable of working with minimal oversight


Nice-to-Haves:

  • Experience supporting high-net-worth individuals or family office settings
  • Familiarity with entrepreneurial frameworks like EOS or Strategic Coach
