This role combines administrative coordination, customer communication, and accounting support, making it ideal for someone who is comfortable managing multiple responsibilities while maintaining strong attention to detail. The ideal candidate will assist with QuickBooks data entry, accounts payable support, customer communication, CRM updates, and general office administration. This role is critical in keeping internal operations organized and ensuring financial and administrative tasks are handled accurately and on time. Experience supporting a service-based, construction, or restoration company is a strong advantage. Key Responsibilities Administrative Support Answer and route incoming phone calls professionally Maintain and update CRM records and internal databases Coordinate communication between team members and departments Maintain organized digital files and documentation Assist with general administrative tasks and internal coordination QuickBooks & Accounting Support Perform data entry and maintain accurate records in QuickBooks Assist with accounts payable tasks, including vendor invoice tracking Help maintain organized financial documentation and records Support internal financial tracking and reporting processes Customer & Vendor Communication Communicate with customers, vendors, and internal staff regarding service updates or billing inquiries Provide responsive and professional customer service Assist with follow-ups and administrative communication as needed Systems & Technology Use QuickBooks, CRM systems, internal applications, and video conferencing tools Maintain organized digital records and file management systems Participate in virtual team meetings and operational coordination Required Skills & Qualifications 3+ years of experience in administrative support roles Hands-on experience with QuickBooks Strong data entry accuracy and organizational skills Experience working with CRM systems and spreadsheets Excellent written and verbal English communication skills Strong time management and ability to handle multiple tasks Ability to work independently in a remote environment Nice to Have Experience working with construction, restoration, or service-based companies Basic understanding of accounts payable processes Spanish language skills Technical Requirements Candidates must have: Reliable computer/laptop High-speed internet connection with backup internet if possible Headset for calls and meetings Ability to use secure company systems and communication platforms Working Hours Full-Time 8:30 AM – 5:00 PM Pacific Time What We Offer Competitive compensation based on experience Fully remote work environment Long-term opportunity with a growing service-based company Clear responsibilities and structured workflowsPlace of work
