We are recruiting on behalf of a leading financial institution for the role of Executive Office Assistant to support a four-person Executive Office team. This is an exciting opportunity for a proactive and experienced assistant ready to step into a fast-paced, high-level environment and contribute from day one. The team includes corporate communications professionals, a government affairs representative, and the Chief of Staff to the CEO of the bank’s European entity. We’re looking for someone with a “plug and play” attitude – confident, independent, and ready to operate from day one in a demanding environment. Responsibilities: Manage calendars and diaries for senior stakeholders Coordinate and book complex international travel Process and submit business expenses Answer and route incoming phone calls Support morning communication with key stakeholders Coordinate logistics for high-level client events Assist in the preparation and organization of quarterly board meetings Liaise with internal senior leadership, board members, clients, policymakers, regulators, and associations Requirements: Have 3 to 4 years of recent experience as an executive or team assistant Come from a corporate or financial services background Be used to working in a fast-paced, high-pressure environment Have excellent spoken and written English Demonstrate strong interpersonal and communication skills Show a detail-oriented, organized, and adaptable approach Be confident asking questions and receptive to direct feedback Nice to have: German language skills (spoken and written) Experience working with board members or executive-level stakeholders Familiarity with communication involving policymakers or regulatory bodies This is a temporary role with the potential for future permanent opportunities depending on performance.
